When you are organizing a meal after a funeral, one of the first questions is how much food to order. Start with the people you expect at the meal, then build quantities around the actual menu. A pan count alone cannot tell you whether everyone will be comfortably served.
Start with the meal guest count
The number attending the service may differ from the number staying for the repast. Ask the family and venue for a working estimate, including children and helpers who will eat. Give your caterer that estimate and ask when the final count is due.
If you expect 50 guests and choose a 10% planning buffer, you would plan for 55 servings. For 75 guests, round up to 83; for 100, plan for 110. These are examples, not a requirement. Choose a buffer that fits the uncertainty, budget and venue capacity, and ask whether your caterer's quantities already include one.
Ask what a serving means
For chicken, ask whether portions mean whole wings, wing sections or assorted pieces. For sides, ask for the portion size and expected servings per tray. A full pan can be filled to different depths, and a rich pasta dish may be served differently from a vegetable side.
When offering two proteins, decide whether each guest receives both or chooses one. Ordering a full guest count of every option can lead to more food than you intended. Explain the serving plan before your caterer calculates quantities.
Build a complete meal
A simple starting menu is a main dish, two sides, bread and a beverage, with dessert if the family wants it. For example, chicken with macaroni and cheese, vegetables and rolls gives your caterer a clear starting point. Confirm dietary needs early and label any separate meals so they reach the right guests.
Use a calculator, then confirm the details
Our food quantity guide and calculator can help organize your assumptions. Review the results with your caterer: guest mix, menu choices, event length and tray yields affect the final order. Keep raw purchasing amounts separate from cooked serving amounts.
